The most common surprise in custom home work is not the cost. It is the timeline.
Most families who come to me about building have been thinking about it for years. They have collected images, considered ideas, looked at land, maybe talked with a builder or two. By the time they reach the first meeting, the project feels close. What I have to tell them is that even with the best team and the cleanest site, they are still 18 to 30 months away from moving in. Sometimes longer.
This post is the honest version of that timeline. I am an AIA-licensed architect based in Everett, and I have walked many families through this arc. The phases below reflect how a custom home actually unfolds, the pace each one takes, and what is happening at each stage. My hope is that anyone reading this will go into a custom home project with realistic expectations, which is the single best predictor of whether the experience will feel rewarding or frustrating.
Why the Timeline Is the Conversation That Matters Most
Cost gets all the attention in custom home discussions, but in my experience, schedule is what actually makes or breaks a family’s experience of the project.
A family that commits to selling their existing home before the custom is ready often ends up in temporary housing for a year longer than expected. A family that needs to be in by the start of a school year sometimes makes design compromises late in the process to hit a date that was never realistic. A family that does not understand the timeline gets frustrated during permitting because they think the project has stalled, when in fact it is moving exactly as it should.
Getting the timeline right is mostly about getting it real. The custom home process is not slow because anyone is dragging their feet. It is slow because each phase has a purpose, and skipping or rushing any of them tends to create problems that cost more time than they save.
Phase 1: Programming and Discovery
Typical duration: 1 to 3 months
Programming is the phase where we figure out what the home actually needs to be. It is the phase that gets shortchanged most often, and the one that pays the highest dividends when done well.
In a typical programming engagement, we meet several times. Sometimes at your current home so I can see how you actually live. Sometimes at the property where the new home will sit. Sometimes in my studio. The conversations cover daily rhythms, family habits, what works in your current home, what does not, how you entertain, where you spend your quiet time, what you have collected over the years that needs a home of its own.
I also study the site during this phase. I walk the land. I track sun and shadow across the day. I look at views, prevailing winds, drainage, mature trees, and the position of neighbors. I review zoning, setbacks, and any regulatory layers that constrain the buildable envelope.
The output of programming is a clear brief. Not a floor plan. A document that captures who you are, what your land is, and what kind of home should emerge from the intersection of the two. That brief is what every design decision gets measured against for the next two years.
Families who rush this phase tend to end up with homes that are technically beautiful but slightly off. The rooms are in the right places. The materials are well chosen. But the home does not quite fit how the family actually lives. That is almost always a programming failure.
Phase 2: Schematic Design
Typical duration: 2 to 3 months
Schematic design is the phase where ideas become drawings. The programming brief established what the home needs to do. Schematic design answers what it actually looks like.
I start with hand sketches. Loose, exploratory, made on site and in the studio. Working with paper keeps the design fluid in a way that software does not. Many of my best design moves come from sketches I almost did not draw.
From those sketches, I develop early three-dimensional models that let you walk through the home before any decisions feel permanent. We try different orientations on the site. We test where the kitchen should sit, how the entry sequence works, whether the primary suite should look out at the trees or back toward the morning light. These are the big moves, and they are easier to change at this stage than at any phase that follows.
Schematic design typically involves three to five formal client meetings. In between, I am working through alternatives, refining the strongest ideas, and bringing back updates for your review.
By the end of this phase, we have a design that is recognizable as your home. Not finished, not detailed, but the form is clear. The roof shape, the major spaces, the way the home sits on the land, the materials concept, all of these have been decided. The remaining work is depth, not direction.
Phase 3: Design Development
Typical duration: 2 to 4 months
Design development is where the home gains specificity. Schematic design told us what the home is. Design development resolves how every part of it actually gets built.
Materials get studied in detail. Door and window types are selected. Cabinet configurations are designed. Lighting concepts are developed. The structural engineer comes in to resolve the framing strategy. The mechanical engineer figures out how the HVAC and plumbing will route. Specialty consultants, like an acoustician or landscape architect, contribute their pieces.
This is also the phase where the budget gets real. The construction cost during schematic design is an educated estimate based on size and finish level. During design development, specific products are selected and specific quantities are calculated. A good contractor or estimator can now produce a preliminary number with meaningful precision.
Client meetings during this phase shift from big moves to detail decisions. What is the tile in the primary bath? What is the cabinet hardware? What is the species of wood for the ceiling beams? Some clients enjoy this phase enormously. Others find the volume of decisions tiring. A good architect manages the pace so that decisions arrive in a sequence that builds on each other rather than overwhelming.
By the end of design development, the home is fully designed. The drawings still need to be expanded into a complete construction set, but every decision of substance has been made.
Phase 4: Construction Documents
Typical duration: 3 to 4 months
Construction documents are the full translation of the design into instructions. Every wall section. Every detail at every transition. Every spec for every material. Every coordination point between trades.
The reason this phase takes as long as it does is that good construction documents are extremely thorough. A typical custom home set runs 60 to 120 sheets of drawings, plus specification documents, plus engineering. Every line on every sheet has been drawn intentionally.
The investment in completeness pays off twice. First, in permitting. A complete drawing set tends to move through review in something close to the standard timeline. An incomplete set ends up in multiple correction cycles that add months. Second, in construction. A contractor bidding from a complete set can give you a real number and a real schedule. A contractor bidding from an incomplete set has to add contingency for unknowns, which costs you money, and then make decisions in the field during construction, which costs you control over the design.
Client involvement during construction documents is minimal compared to the previous phases. Most of the work is done by the architectural team. You are usually asked to confirm a few final selections and approve the documents before they go to permitting.
Phase 5: Permitting
Typical duration: 3 to 6 months
Permitting timelines vary by jurisdiction. In the Pacific Northwest, custom home permits typically take three to six months. Faster on straightforward lots in efficient jurisdictions. Slower when the site triggers critical areas review, shoreline review, design review, or any other specialized process. From the homeowner’s perspective, permitting can feel like a quiet phase. The drawings are submitted, and then the building department reviews them. There may be one or two rounds of comments from reviewers that the architect addresses. Eventually, the permit is issued.
What is happening in parallel is contractor selection. With the construction documents in hand, you can solicit bids from qualified contractors. The bidding process itself typically takes four to six weeks, including contractor walkthroughs, RFI cycles, and bid review. By the time the permit is issued, the contractor is typically selected and ready to mobilize.
A note on what not to do during permitting. Some homeowners get anxious during this phase and start making design changes. This almost always extends the project. Once drawings are submitted, the design should be locked. Changes made after submittal require redrawing, re-coordination, and resubmission. If the project schedule matters to you, treat the construction document set as final and move on.
Phase 6: Construction
Typical duration: 12 to 18 months
Construction is the longest phase, and the most visible. It is also the phase where the design either gets executed faithfully or quietly compromised. Which way it goes depends partly on the contractor and partly on whether the architect stays involved through the build.
A typical custom home in the Pacific Northwest takes 12 to 18 months to construct, sometimes longer for complex projects. The phases inside construction roughly follow this sequence.
Site preparation and foundation work usually take 1 to 3 months. This includes any required clearing, grading, drainage, excavation, foundation pour, and underground utility runs. Weather plays a real role here. A wet winter can slow this phase considerably.
Framing usually takes 2 to 4 months. The shell of the home goes up. Walls, floors, roof structure, window and door rough openings. This is when the home becomes visible from the road for the first time.
Mechanical, electrical, and plumbing rough-in takes another 2 to 3 months. Inside the framed walls, all the systems get installed. HVAC ducts, plumbing lines, electrical wiring. This is unsexy work but it is the infrastructure of the home for the next several decades.
Insulation, drywall, and exterior cladding usually take 2 to 4 months. The home starts to feel enclosed. The exterior reads as finished even though the interior is still rough.
Finish work is the longest sub-phase, usually 4 to 8 months. Flooring, trim, cabinetry, tile, paint, lighting, plumbing fixtures, appliances. This is where the design specificity from design development comes to life.
Final inspections and certificate of occupancy take another 2 to 4 weeks. The home is tested, inspected, and cleared for occupancy.
A Note on Construction Administration
During construction, the architect’s role shifts from designer to advocate. My job is to make site visits, respond to contractor questions, review submittals, and resolve field conditions in a way that protects the design.
This phase is where the design either holds or quietly slips. Field decisions made without the architect present often default to whatever is easiest for the contractor’s schedule, which is not always what is best for the home. An architect who stays engaged through construction is what keeps the finished result aligned with the design that was approved.
I always recommend that homeowners hire their architect for full construction administration, not just permit-and-walk-away. The added fee is modest. The protection of the design through 12 to 18 months of construction is significant.
Putting the Total Timeline Together
The total project window from first conversation to move-in usually lands like this, with some variability based on project complexity and site conditions.
Design and documentation: 8 to 16 months
Permitting and bidding (overlap with each other): 3 to 6 months
Construction: 12 to 18 months
Total: 18 to 30 months
Some projects move faster, especially with a small program and a simple site. Some take longer, especially with complex sites or programs that involve significant outbuildings, landscape design, or specialty consultants.
The variable that matters most is your tolerance for the process. Families who go in expecting the long arc and finding meaning in each phase tend to enjoy the journey. Families who treat the timeline as an obstacle tend to find the experience frustrating no matter how well it actually goes.
Questions I Get Asked Most
Can a custom home actually be built faster than 18 months?
Sometimes, on a small program with a simple site and an efficient contractor. But the design and documentation phases have a real lower bound, and rushing them tends to create problems during construction that cost more time than they save.
Why does design take so long?
Because the design decisions made during these phases will define how you live for decades. Programming, schematic design, design development, and construction documents are not interchangeable steps that can be combined. Each one builds on the last. Skipping any of them tends to produce a home that does not hold up over time.
What can I do to keep the project on schedule?
Make decisions when they are asked of you. Be available for meetings. Trust the team you hired. Resist the urge to make changes after the design is locked. These are the most common sources of delay, and all of them are within the homeowner’s control.
Does the timeline include landscape design and exterior work?
Sometimes. A landscape architect is often brought in during design development and works in parallel with the home’s design. Exterior installation typically happens late in construction. Major landscape work can extend the project timeline by a few months.
What is the longest phase of construction?
Finish work, almost always. It is also the phase where the design quality of the home is most visible, so the time invested here pays off in the finished product.
Can I live on site during construction?
Generally no. Construction sites are not appropriate residential environments. Most homeowners rent or stay with family during construction. This is a real consideration for the timeline and the budget.
What happens if the contractor falls behind?
Schedules slip on most custom home projects. A good contractor communicates ahead of time about delays and offers a plan for recovery. The architect’s role during construction administration includes holding the contractor accountable to the schedule that was committed to.
Should I start packing my current home before construction is done?
Most homeowners are surprised by how late the home is actually ready to occupy. I recommend not committing to vacate your current home until you are within a clear, confirmed window of move-in. Two months out is reasonable. Six months out is risky.
A Final Thought
Custom home work is long work. There is no version of it that is fast. The families I have seen happiest with the finished result are not the ones who somehow shortcut the timeline. They are the ones who understood the timeline going in and found meaning in each phase as it unfolded.
That is what the process actually offers. Not just a finished home, but two or three years of paying attention to your life, your land, and the architecture that emerges from both. The home at the end is the result of that attention.
